Within ING Tech the Global Software Asset Management (SAM) department is responsible for creating transparency in the usage of software licenses,  compliance position and consumption monitoring. We report to management about the compliance status on software contracts. Furthermore we foresee more and more the trend to move into service based contract like SaaS/Cloud, for this it is key for our department to monitor the consumption and trends. With this knowledge we advise management and follow up with stakeholders to come to deployment of software/SaaS/Cloud in the for ING most efficient way and to come to software/SaaS/Cloud contracts which are in line with ING’s needs.

In order to increase the control on software vendors and actively manage and follow up with stakeholders internally ING we are continuously increasing the scope. In collaboration with a SAM as a Service provider this will grow significantly to around 75 vendors in total, which will be continuously monitored from a software asset management perspective by the SAMSP or by the internal SAM Team.

The SAM Service Provider analyses the contracts for the vendors in their scope, calculates the compliances and provides reporting including observations and recommendations.

Where the internal SAM team does this for the vendors in the internal scope. Additionally for the vendors in the SAMSP scope they mainly focus on aligning with the stakeholders for insight in contracts and data but most importantly to advice and follow up on these observations and recommendations with the (business)stakeholders.

For a successful on-boarding of the software vendor (either for the internal SAM team as well as the SAMSP) it is key to have a good network with the key stakeholders involved on the software vendor (business owners, product owners, contract managers, etc), to get a complete and up to date overview of all contracts, payments and license usage data but most importantly to follow up with these stakeholders based on the observations and recommendations from the analysis.

Once the software vendors are on-boarded we monitor the compliance position on a regular basis. This means that it is key to ensure contracts and license usage data remains up to date. Based on the reporting, recommendations need to be followed up with internal stakeholders both from a contractual and compliance perspective.

In your role as software asset manager you are the trusted advisor to the key stakeholders within the business, IT, procurement and finance globally. You are the Software Asset Management SPOC within ING on the software vendors in your scope and work closely with the SAMSP and the rest of the organisation.

You are responsible for collecting the contracts, payments and software usage data for the vendors in scope but most importantly you follow up and advice with the key stakeholders on  observations and recommendations to ensure risks are limited.

Some insight in the activities

Overall:

• Set up and maintain a network of key stakeholders for your software vendors in scope
• Work with key stakeholders for provisioning of contracts, payments, license usage data and for follow up and advice based on reporting, observations and recommendations
• Facilitate kickoffs with these stakeholders for a good start of on-boarding

Collect and deliver contracts / payments data in time:

• You collect all contracts and payments from procurement systems, financial systems and key stakeholders in procurement and finance for the software publisher in scope
• You assess contracts/payments on acceptance criteria (like completeness of all contracts, license metric definitions) to ensure smooth vendor on-boarding

In case of a vendor in scope of the SAMSP:

• You mask contracts/payments based on predefined CIA criteria
• You share contract/payment data with the SAMSP

Collect, share and automate license usage data in time

• Rapid assessment on license metrics to determine the required dataset for onboarding
• You align with the internal SAM team to validate if data is available in existing data sources and in case of unavailability in existing data sources, you determine PTA for providing for the specific required data and coordinate with Global SAM automation SMEs to ensure data collection is automated.
• You formalize and store agreement with PTA for regular data provisioning in required format (automated by default) and validate that data is line with the confidentiality criteria and align with Risk SME is required

Advise to key stakeholders

• Regular meetings and pro-active follow up and advice with the stakeholders based on reporting and observations, recommendations (from both SAMSP and internal SAM team)

Who are you

Minimum Bachelor Degree in business or computer science with minimum 3-5 years relevant experience (background in software asset management, vendor management).

Knowledge and good understanding of software contracts.

You are a team player and able to cooperate with colleagues from different parts in the organization like Procurement Officers, Financial Controllers and IT component owners etc.

Experience with Agile/SCRUM, Procurement- Financial systems is a pre.
